Project Overview/Background:
The Workshop Supervisor is responsible for overseeing the day-to-day operations of the workshop, ensuring efficient workflow, maintaining a safe and organized environment, and upholding strict confidentiality standards. The successful candidate will lead a team of technicians, ensuring high-quality work, adherence to procedures, and continuous improvement.

Role Definition: Workshop Supervisor
Key Responsibilities:
Vehicle Handling and Preparation:
Oversee the inspection and preparation of vehicles for various processes (e.g., maintenance, repair, modification).
Ensure vehicles are properly secured and protected throughout the workshop.
Verify vehicle identification and documentation upon arrival, ensuring accuracy and completeness.
Workshop Tools and Equipment Maintenance:
Supervise the maintenance, repair, and calibration of all workshop tools and equipment.
Implement and maintain a preventative maintenance schedule to minimize downtime and ensure optimal performance and longevity of equipment.
Manage the inventory of consumable supplies (e.g., lubricants, filters, calibration tools) for tools and equipment, ensuring adequate stock levels.
Confidentiality Management:
Implement and enforce strict confidentiality protocols for all vehicles and related information, adhering to company policies and legal requirements.
Conduct regular confidentiality checks to identify and address potential vulnerabilities (e.g., access controls, data security).
Maintain absolute confidentiality regarding vehicle specifications, modifications, performance data, and any other sensitive information.
Faulty Vehicle Receipt and Management:
Oversee the proper receipt, inspection, and documentation of faulty vehicles, ensuring accurate identification and tracking.
Ensure accurate recording of vehicle defects, damages, and required repairs using standardized forms and systems.
Coordinate with the Workshop Manager regarding repair prioritization based on factors such as urgency, resource availability, and customer requirements.
Work Order Management:
Assign work orders to technicians, ensuring equitable distribution based on skill level, workload, and specific task requirements.
Monitor the progress of work orders, proactively identify any roadblocks or delays, and implement corrective actions.
Verify the completion of work orders according to established quality standards, ensuring that all required tasks are completed and documented accurately.
5S Maintenance:
Implement and maintain a 5S (Sort, Set in Order, Shine, Standardize, Sustain) program to ensure a clean, organized, and efficient workshop environment, promoting safety and productivity.
Conduct regular 5S audits to assess compliance and identify areas for improvement, fostering a culture of continuous improvement.
Implement corrective actions as needed based on audit findings, addressing any non-compliance or inefficiencies identified.
Audit Support and Report Preparation:
Support internal and external audits by providing relevant documentation, information, and access to workshop facilities, ensuring transparency and accountability.
Prepare regular reports on shop floor activities, including work order completion rates, equipment utilization, confidentiality compliance metrics, and safety incidents.
Analyze data from reports to identify trends, opportunities for improvement, and potential risks, providing actionable insights to the Workshop Manager.
Vehicle Records Keeping and Documentation:
Maintain accurate and complete records for all vehicles, including maintenance history, repair records, modifications, and confidentiality agreements, using a centralized system.
Ensure proper documentation is submitted, stored, and readily accessible according to established procedures, complying with legal and regulatory requirements.
Provide documentation support to other departments as needed, such as providing vehicle history reports to sales or engineering.
Team Leadership and Development:
Provide guidance, training, and support to workshop technicians, fostering their skills and knowledge.
Motivate and encourage teamwork within the workshop, promoting a positive and collaborative work environment.
Conduct performance evaluations, provide constructive feedback, and identify opportunities for professional development for team members, supporting their career growth.
Safety Compliance:
Ensure compliance with all safety regulations and procedures, adhering to company policies and legal requirements.
Conduct regular safety inspections to identify potential hazards and ensure a safe working environment.
Promote a culture of safety awareness within the workshop through training, communication, and proactive hazard identification, minimizing the risk of accidents and injuries.
Deliverables:
Maintained workshop tools and equipment in optimal working condition.
Implemented and enforced confidentiality protocols.
Accurate documentation of faulty vehicles.
Equitable distribution of work orders.
A clean, organized, and efficient workshop environment adhering to 5S principles.
Regular reports on shop floor activities.

Equipment uptime and availability.
Number of confidentiality breaches (target: zero).
Accuracy of fault diagnosis and repair documentation.
Work order completion time.
5S audit scores.
Report submission frequency and accuracy.
Vehicle record accuracy and completeness.
Technician performance improvement (measured by training completion and skill assessment).
Number of safety incidents and near misses.
Employee satisfaction within the workshop team.
Working Hours: The Workshop Supervisor will work from 8 AM to 6 PM, Monday to Friday, with Saturday work as required based on operational needs.
Reporting Structure: The Workshop Supervisor will report directly to the Engineering Manager.
