Role Purpose
The Workflow Administrator is responsible for designing, building, governing and continuously improving the organisation’s
Monday.com
environment.
Monday.com is “owned” in the business by the Change and Transformation team, withing which the largest user is the PMO. This role will own platform administration, adoption, usage insight, and ongoing optimisation to ensure monday.com delivers measurable business value.
Additionally there is demand withing the wider firm to use Monday.com to manage initiatives that sit outside the remit of the PMO. This role will also therefore function as the bridge between these business teams and the platform, translating departmental needs into well‑designed monday.com workspaces, boards, automations, dashboards, and integrations. A key focus will be on ensuring that all workspaces are compliant with our over arching security requirements and governances.
Key Responsibilities
Business Engagement & Solution Design
- Partner with departments across the business (e.g. Aps Development, DEIB, Legal Ops and Project Management, Events, Client services etc) to understand their processes, ways of working, structure, and reporting needs.
- Elicit and document requirements and translate them into scalable monday.com solutions.
- Design and build fit‑for‑purpose workspaces, boards, dashboards, forms, automations, and integrations aligned to business outcomes.
- Apply consistent design standards and best practices and security principles to maintain consistency and resilience.
Platform Build & Configuration
- Build and configure monday.com solutions using native features and approved marketplace apps.
- Set up and manage automations, integrations, permissions, and board structures.
- Configure roles, permissions, and workspace access in line with governance and security requirements.
- Ensure solutions are reusable, maintainable, and scalable as usage grows

Platform Administration & Governance
- Function as a key monday.com administrator, owning day‑to‑day platform management.
- Manage users, roles, permissions, workspaces, and account settings.
- Define and enforce platform governance, standards, naming conventions, and lifecycle management.
- Function as escalation point for complex configuration or access issues.
Adoption, Usage & Continuous Improvement
- Track and analyse usage, adoption, and engagement metrics (e.g. active users, board usage, automation usage, dashboard consumption).
- Identify under‑utilisation, duplication, or inefficiencies and proactively recommend improvements.
- Work with the Head of Change and Transformation and the wider Adoption team to support onboarding, training, and adoption initiatives.
- Continuously refine existing solutions based on feedback and usage insight

Support & Troubleshooting
- Provide support for monday.com‑related issues.
- Diagnose and resolve configuration, automation, integration, and permission problems.
- Work with the adoption team and the owners of workspaces to maintain clear documentation, how‑to guides, and support materials for end users.
Product Knowledge & Roadmap Awareness
- Maintain strong awareness of the monday.com product roadmap, releases, and feature changes.
- Stay up to date with new functionality across monday.com Work Management and related products.
- Evaluate new features and advise the business on how and when they should be adopted.
Marketplace Apps & Integrations
- Maintain a strong working knowledge of the monday.com Marketplace and available apps.
- Assess third‑party apps for suitability, value, security, and alignment with business needs.
- Recommend and implement apps or integrations that help solve business problems and reduce manual effort

Skills & Experience
Essential
- Proven experience building and administering monday.com (or similar low‑code / work management platforms)
- Strong ability to translate business requirements into system design
- Experience configuring boards, dashboards, automations, integrations and permissions
- Experience supporting multiple departments with differing needs and levels of technical maturity
- Strong analytical skills, including interpreting platform usage and adoption data
- Excellent stakeholder engagement and communication skills
Desirable
- Experience in professional services, legal, financial services, or complex enterprise environments
- Familiarity with change management and digital adoption approaches
- Experience of MS Power Apps, UiPath and Jira and/ or other similar tools is desirable but not essential
- Understanding of data governance, security, and access control principles
