Job Description: Purchase Executive – RFQ to PO

Position Summary

The Purchase Executive will manage and execute the complete RFQ to PO process, ensuring timely sourcing, competitive quotation analysis, and efficient purchase order creation. The role requires strong coordination with suppliers and internal stakeholders, adherence to procurement policies, and effective execution of sourcing activities.

Key Responsibilities

• Handle the entire RFQ (Request for Quotation) process—shortlisting suppliers, inviting quotes, follow-ups, and clarifications.
• Conduct comparative statement analysis (Price, Delivery, Technical alignment, and Commercial terms).
• Negotiate with suppliers to achieve best pricing and terms.
• Create and release Purchase Orders as per approved RFQs and procurement guidelines.
• Track order acknowledgements, delivery commitments, and coordinate with internal teams for timelines.
• Maintain supplier records, quotations, and communication logs in the ERP system.
• Ensure PR–PO process compliance and support auditing requirements.
• Coordinate with end-users, planning, finance, and logistics for seamless procurement execution.
• Support identification of potential suppliers to strengthen the supply base.
• Highlight repeated delays or non-compliances from suppliers for corrective actions.

Required Skills & Competencies

• Good knowledge of PR–PO processes, RFQ handling, quotation evaluation, and procurement workflows.
• Prior experience in a similar industry (manufacturing/engineering/industrial preferred).
• Proficiency in ERP systems such as SAP, Oracle, MS Dynamics, or similar.
• Strong negotiation, analytical, and vendor management skills.
• Excellent communication, coordination, and documentation abilities.
• Ability to work in a fast-paced environment and manage multiple RFQs efficiently.
• High attention to detail and strong process orientation.

Education & Experience Requirements

• Diploma, Engineering, Commerce.
• 2–4 years of experience in procurement, especially in RFQ–PO functions.
