Flexiv Robotics Inc. (US) seeks a detail-oriented, motivated Operation Manager to support daily administrative & sales operations, reporting to the Head of US Business Unit.
This is a Full Time ONSITE position.
As the Operation Manager, you’ll manage daily operations, negotiate with service providers, support related departments, organize lively team events, and directly interface with our other global locations. You will also ensure that the company's safety & security protocols are carried out in accordance with company policies and guidelines. Additional accountabilities include a range of administrative support services, currently under the General Management organization.

Job Responsibilities:
• Maintain an inviting, productive work environment across the business operation and R&D area. Monitor and maintain supplies and inventory; Ensure clean, tidy working conditions for the facility including, furniture, lighting, and equipment; Responsible for incoming and outgoing mail, packages, and shipments; Plan and execute equipment procurement, layouts, and systems at our facility.
• Planning and assisting with regular all-hands meetings, special projects and company events e.g., team outings, annual events/holiday parties, celebrations, and weekly free lunch.
• Responsible for corporate travel management, formulating travel norms, assisting in booking travel tickets and hotels.
• Responsible for statistics of facility operation costs, execution and maintenance of reimbursement process, and making recommendations.
• Organize, develop, and communicate operation-related policies and procedures.
• Manage IT equipment requests.
• Responsible for the distribution and control of security access keys.
• Maintain and manage external parties related to the facility: Landlord, property management, city, fire department, insurance companies, pest control, janitorial services.
• Assist and ensure proper maintenance and repair of all facility systems if applicable, including plumbing, electrical, HVAC, alarm, minor handyman repairs; Generate, track, and maintain facilities’ budget, handle payments.
• Manage ordering process of equipment and other supplies for Business and Engineering departments.
• Manage the logistics for incoming and outgoing equipment delivery, including US custom/tariff fee payment in coordination with Business and Finance Dept.
• Fixed assets management, and support audit when necessary.
• Inventory management in collaboration with Business and Finance Dept. and support audit when necessary.
• Administer benefits & perks, recognition programs, and cultural initiatives.
• Partner with HR to communicate and maintain policies as necessary.
• Assist the HR Manager as needed with new hire on-boarding
• Work with the Global Head of General Management and other Executives on ad-hoc projects
• Other duties as assigned
Required Qualifications:
· Minimum Bachelor Degree
· 2-5 years of Operation Manager/Executive Assistant or equivalent experience.
· Positive outlook, helpful demeanor, exceptional customer service.
· Excellent interpersonal and communication skills.
· Proficient in English, verbal and written skills.
· Collaborative team player within the team and with cross-functional stakeholders.
· Process-oriented and highly organized with attention to detail.
· Project planning and coordination experience.
· Self-starter, proactive worker, problem-solver who can work independently with little oversight within a structured work frame.
· Proficient in Microsoft Outlook, Word, Excel, PowerPoint and G Suite.
· Able to handle confidential information appropriately.
· Quick learner and system savvy.
Preferred Qualifications:
· EHS Program Management and OSHA Compliance experience.
· Understanding of Worker's Compensation administration, policies, and procedures.
· Experience directly supporting a diverse team, preferably in the technology sector or in an R&D organization.
· Knowledge of the Bay Area to assist people new to the area.
· Mandarin speaking preferred but not mandatory
· Sound judgment.
· Comfortable with giving and receiving feedback.
Salary Range: $85k to $95k per year
