Position Summary:

Alicia Bots is seeking a proactive and detail-oriented Junior Operations Manager to support and coordinate day-to-day operational activities at our Greece office. This role is ideal for someone who thrives in a fast-paced environment, takes initiative, and can manage logistics, planning, and communications with precision.

The successful candidate will play a key role in vessel tracking, service scheduling, and ensuring smooth execution of all operational requirements related to our robotic service deployments across ports in Greece and surrounding regions.

Key Responsibilities:

Office & Operational Coordination

• Manage all day-to-day operational tasks within the Greece office, including inventory records, logistics, scheduling, documentation, and vendor coordination.
• Support the production and service teams with materials, administrative processes, and local procurement needs.
• Ensure compliance with internal processes and company policies in all operational activities.

Vessel Tracking & Service Visit Planning

• Monitor vessel movements relevant to Alicia Bots’ clients using AIS and maritime tracking platforms.
• Coordinate with clients, agents, and internal teams to plan service visits based on vessel ETA/ETD and port rotation.
• Prioritise visits based on client urgency, service backlog, and robotic unit availability.

Interdepartmental Liaison & Communication

• Serve as the point of contact between local technicians, production teams, and commercial teams for all Greece-based operational updates.
• Provide timely updates to the Singapore HQ and CRM team regarding service schedules, challenges, and client feedback.
• Assist in preparation of operational reports and performance dashboards as required.

Qualifications & Skills:

• Bachelor’s or Master’s Degree in Mechanical Engineering, Industrial Engineering, Operations Management, Logistics, or related field.
• Minimum 2-4 years of experience in operation planning, logistics and service coordination.
• Familiarity with robotics systems and their production requirements is a plus.
• Proficiency in reading and interpreting technical schematics, blueprints and diagrams.
• Strong communication skills and the ability to collaborate across departments.
• Results-oriented with the ability to work under pressure and meet deadlines.
