We are looking for a highly meticulous, driven office manager for our Palo Alto office (m/f/d) that possesses an analytical mindset with an unwavering commitment to accuracy and organization to manage our financial support, administrative, and internal compliance functions.

RESPONSIBILITIES:

Financial Reporting: Prepare initial bookkeeping records; Travel Expenses Reporting; Payroll Management; coordinated with the external accountant & our Munich office
Compliance and Internal Processes
Process Alignment: Support and maintain alignment with the Munich Office on internal Compliance, Audit, and Data Security processes.
HR Processes: Provide essential support for internal HR processes, including the onboarding and offboarding of employees.
Serve as a resource for a team of 10 professionals - assisting as needed with scheduling, conferences, and administrative projects.
Office Maintenance: Oversee general office duties, including ensuring the kitchen is well-stocked and maintaining the hygiene and organization of common areas
Partner with colleagues on event planning, from small gatherings to potentially 1 large-scale event each year.

SUGGESTED QUALIFICATIONS:

Demonstrated work experience as an office manager or similar roles in a fast-paced environment
Confidence in handling Excel and financial reporting software such as QuickBooks
Highly meticulous, detail-oriented, analytical with an unwavering commitment to accuracy and structured organization
Demonstrated expertise in handling international travel, high-level meetings, and board coordination.
Emotionally intelligent, proactive, and reliable, with excellent judgment and situational awareness.
Comfortable liaising with global colleagues and handling coordination across time zones.
