We are looking for a reliable, proactive, and highly organized HR & Travel Coordinato r to support our HR team, office operations, and business travel needs. This role is ideal for someone who enjoys variety, thrives in an administrative support function, and takes pride in being a strong behind-the-scenes contributor to both people processes and daily operations. You will play a key role in ensuring smooth travel arrangements, supporting recruitment and HR administration, and helping maintain an efficient and welcoming office environment.

Key Responsibilities

1) Travel Coordination

• Organize and manage business travel arrangements (flights, accommodation, ground transportation, logistics
• Coordinate travel for executives, candidates (interviews), and new hires (onboarding)
• Ensure cost-effective and timely travel planning
• Handle travel-related documentation and ad-hoc changes

2) HR & Recruitment support

• Provide ad-hoc administrative backup to the HR and Recruitment team
• Support the recruiter in daily activities, including: scheduling interviews, welcoming and hosting candidates on-site, managing recruitment-related administration
• Assist with HR administration, including: employment documentation and payroll preparation support, HR statistics and reporting and data management in BambooHR

3) Office Support

• Support day-to-day office operations and provide administrative backup
• Ensure smooth daily office functioning and help maintain a professional, organized, and welcoming office environment

What We’re Looking For

• Minimum 2 years of experience in administration, HR support, office coordination, or a similar role
• Strong organizational and time-management skills
• Ability to handle ad-hoc tasks and shifting priorities with flexibility
• Confident English communication skills (written and spoken)
• Detail-oriented, proactive, and solution-focused mindset
• Helpful, positive “can-do” attitude
