Role Description
We are seeking a detail-oriented and strategic Grant and Procurement Manager to join our team on a full-time basis at our office in Bratislava, Slovakia.
We are seeking a senior, Slovakia-based Grant & Procurement Manager to lead the financial, compliance, reporting and procurement aspects of these projects and to build a scalable structure for future EU and US collaborations.
Key responsibilities
Requirements
Ensure compliance, financial, and technical reporting across multiple grant schemes.
Ownership of grant reporting management. You will set up the processes for reporting and alignment from scratch.
Design, implement, maintain and oversee procurement & time-tracking processes and compliant purchasing system (bids, tenders, market research).
Maintain an up to date reporting calendar and keep a (pro)active communication with the government and consortium members. Ensure continuous on time delivery of all required documents and reports.
Manage procurement processes under Slovak and EU rules (§117, de minimis, market search).
Responsible for processing, formatting & sending legal documents regarding non-dilutive funding. Oversight over Operation Assistant inputs.
Coordinate with external advisors, institutions, authorities and ministries on audits, state-aid eligibility, and contract amendments.
Coordinate internal teams, ensure collaboration, process alignment and effective data flow. Ensure internal alignment with all stakeholders before and during project realisation.
Examine project scope and eligible costs and ensure that all requirements are met during project execution.
Ensure intercompany cost recharging and transfer pricing compliance between SK, UK, and US entities.
Ensure proper retention of all project related documentation. Maintain audit-ready documentation and internal procurement repository.
Keep a clear and up to date overview of the simultaneous funding projects and be the to go person for any questions about project status.
Support co-financing calculations, annexes, and time-reporting accuracy.
Guide junior staff once the team will grow.
Reports to the Head of Partnerships.
3–7 years of hands-on experience with EU or Slovak public-funded R&D projects.
Proven experience in managing and coordinating complex projects funded by public sources or large-scale industrial initiatives.
Experience in contract management, particularly in the context of grant agreements (non-repayable financial assistance), with a thorough understanding of legal compliance, special regulations, and binding governance documents. Ability to navigate these standards and ensure project implementation in accordance with contractual terms.
Experience with supplier and stakeholder relationship management.
Outstanding time management skills, ability to keep oneself and others accountable.
Working knowledge and experience of procurement legislation (343/2015 Z. z.) and state-aid frameworks.
Hands-on attitude, willingness to manage transactional tasks, at the same time stay focused on continuous improvement for project processes.
Understanding of accounting, payroll and cost structure principles according to Slovak rules.
Demonstrated understanding of economic, financial, and accounting principles related to grant funding, including but not limited to budgeting, forecasting, project cost accounting.
Advanced command of Excel and Word.
Fluency and impeccable grammar in Slovak and English (written and spoken).
Analytical, precise, comfortable with managing multiple deadlines.
Experience with ITMS, slovensko.sk, or similar e-grant systems is an advantage.
