As a General Affairs Specialist at the AI Robot Association (AIRoA), you will be responsible for a wide range of back-office operations that support the overall management of the association. Your work will include supporting the operation of board meetings and various internal meetings (preparing materials, taking minutes, scheduling), acting as the secretariat for events, managing contracts and other official documents, overseeing office supplies and assets, maintaining and improving the office environment, and handling payments and budget-related tasks. As the “behind-the-scenes” backbone of projects that bring AI-powered robot foundation models and data ecosystems to the world, you will collaborate with many members across the organization to keep operations running smoothly.
【What Makes the “General Affairs Specialist” Role at AIRoA Unique】
AIRoA is an organization that aims to build a large-scale robot data ecosystem and robot-focused foundation models through the fusion of AI and robotics technologies, accelerating the realization and social implementation of general-purpose robots. We are working to create a future in which robots play an active role in industries facing significant social challenges in Japan, and it is General Affairs that builds the stable “operational infrastructure” to support these activities. Working right alongside cutting-edge R&D and industry collaborations, you will directly experience how the rules and operations you design help move large, high-impact projects forward.
【The Appeal of Taking On This Challenge at AIRoA, Just as We Are Getting Started】
Established in December 2024 and beginning full-scale activities in FY2025, AIRoA is very much in its launch phase. Major corporations and startups participate as members, and together with universities and research institutions, we are forming a rare and unprecedented ecosystem. In this environment, you will have the opportunity to think from scratch about “what kind of operational rules, meeting design, and information management are appropriate for this new type of association,” and to build the mechanisms for meeting governance, document management, policies and rules, and office operations.
【Other】
While remote work is possible, this role is primarily expected to be office-based.
Most of our engineers and researchers also work on-site, conducting research and development directly in front of the robots.
【About AIRoA】
AIRoA was established in December 2024 with two core objectives: “to revolutionize the technology of robot development through the fusion of robots and AI” and “to promote the use of robots in society.” While AI is rapidly advancing worldwide, the shortage of data in robot development has become a critical issue.
To address this challenge, we are running a national flagship project funded by NEDO (New Energy and Industrial Technology Development Organization), with an investment of over JPY 20 billion.
As AIRoA’s multiple R&D projects and joint initiatives with member companies move into full swing, the number of governance and coordination bodies—such as board meetings, committees, and working groups—as well as external collaborations is steadily increasing, and the scope of work handled by General Affairs is expanding accordingly.
With continued project growth and stronger governance in mind, we have decided to create a new General Affairs Specialist position. In this role, you will take professional ownership of general affairs operations and lead the development and standardization of AIRoA’s operational infrastructure.
While steadily running day-to-day general affairs operations — including meeting management, document control, contracts, and office/facility management — you will also be expected to review and standardize existing workflows.
In the mid to long term, you will be involved in more upstream “operations design”: developing policies and rules that reflect collaboration with member companies, universities, and research institutions, and building frameworks for risk management and compliance.
Ultimately, your mission as a General Affairs Specialist will be to enhance the overall “operational quality” of the association that supports the very forefront of AI and robotics.

Preferred Qualifications:
We currently operate out of a spacious office and research facility of over 1,000 m² located in the Ryutsu Center area. In this space, our business teams and engineering teams work in close collaboration, advancing both day-to-day operations and R&D with AI robots always close at hand. The facility is frequently visited not only by members of the AI Robot Association, but also by engineers and researchers from partner companies and representatives from member companies. As a result, it serves as a hub where diverse experts at the forefront of AI and robotics gather and interact.
Today, highly skilled engineers and researchers from around the world are part of our organization. Some members have even relocated from overseas to Japan to join our projects on site. We aim to build a globally open R&D organization where diverse talent, regardless of nationality or background, come together, inspire one another, and shape the future.
