What You’ll Do

1. Executive & Administrative Support

• Manage complex calendars, meeting schedules, time-zone coordination, and travel arrangements for three Directors.
• Prepare agendas, briefing notes, minutes, and follow-up action items.
• Manage email inboxes, screen communications, and prioritise matters requiring the Director's attention.
• Handle confidential documents and ensure proper filing and document control.

2. Operational & Office Management

• Coordinate internal alignment between departments and ensure timely flow of information.
• Assist with preparing reports, presentations, proposals, and internal communications.
• Support office operations including procurement, vendor management, and basic finance administration.

3. Project Coordination

• Track project timelines, milestones, deliverables, and update Directors proactively.
• Support cross-team collaboration to ensure operational continuity.
• Assist with data collection, research, and preparation of project documentation.

4. Client & Stakeholder Liaison

• Serve as the first point of contact for external partners, clients, and stakeholders.
• Schedule and manage client meetings, including hospitality and logistics.
• Prepare client-facing materials such as briefs, presentations, and follow-up communications.

What We’re Looking For

1. Minimum 3–5 years experience supporting senior executives or multiple stakeholders
2. Strong organisational and time-management skills
3. Excellent written and verbal communication skills
4. High proficiency in MS Office / Office 365, Google Workspace, and CRM tools (HubSpot preferred)
5. Ability to multitask and manage competing priorities
6. Strong attention to detail and ability to work independently
7. Professional discretion and confidentiality
8. Mastery of task management software ( Asana ) preferred
9. Proficiency in CRM software ( HubSpot ) for account management, tracking, and reporting preferred
