Case Entry Coordinator (On-Site)

About the Role~ We are seeking a detail-oriented and organized Case Entry Coordinator to join our team. As the initial point of contact for potential clients, you will ensure exceptional service and a smooth process for clients and our team. This role suits someone who thrives in a fast-paced environment and efficiently manages information.

Key Responsibilities~

• Client Interaction~ Answer incoming calls and conduct professional interviews to gather case details.
• Data Management~ Enter case details into the Needles database; update checklists and calendar entries according to case status; attach client, scene, and property damage photos to files.
• Administrative Support~ Scan client documents; assist with case assignments to appropriate departments, attorneys, or legal assistants; order and evaluate police reports; enter medical provider and client treatment information; enter case parties and perform initial conflict checks.

Qualifications~

• Minimum 1 year of clerical or administrative experience.
• Proficient in Microsoft Office Suite or equivalent software.
• Typing speed of at least 50 words per minute.
• Familiarity with case management systems (Needles preferred).
• Strong attention to detail and accuracy.
• Excellent organizational and time management skills.
• Ability to multitask and meet deadlines.
• Professional communication skills in English (written and verbal).
• Reliable and trustworthy in handling sensitive information.
