This role is responsible for a wide range of general affairs tasks, including contract administration, office management, and coordination with internal and external stakeholders.
You will play a key role in maintaining a safe, efficient, and comfortable working environment for all employees.

Your Role and Responsibilities
Reporting to the HR & Operations Director, this is a key position responsible for supporting the smooth and efficient operations of EdgeCortix’s Japan office.
The Administrative Officer will oversee a broad range of general affairs tasks, including office management, contract administration, internal coordination, and vendor management.
This role is essential in maintaining a safe, comfortable, and well-organized workplace, enabling all employees to focus on their work with confidence and efficiency.
The ideal candidate is proactive, detail-oriented, and capable of handling diverse responsibilities independently while collaborating closely with internal teams and external partners to ensure seamless day-to-day operations.
Key Responsibilities
Office Management
Manage and maintain office facilities and equipment (including communication with property management companies)
Procure and control inventory of office supplies and consumables
Handle reception, phone calls, and mail/courier deliveries
Respond promptly to ad-hoc issues or facility-related problems
Manage domestic and international shipments, including deliveries to customers
Contract Administration and Document Management
Handle company seal and electronic signature (DocuSign) requests based on approved internal applications
File and maintain executed contracts and related documents
Note: Contract review is handled by the legal department
Sales Administration Support
Coordinate product shipments and related logistics
Manage purchase orders and quotations
Provide administrative support to the sales team and related departments
Disaster Prevention and BCP (Business Continuity Planning)
Manage and maintain emergency supplies and disaster-preparedness equipment
Support planning and execution of fire drills and disaster response training
Internal Operations Support
Assist in planning and coordinating company events (e.g., all-hands meetings, social gatherings, client visits)
Support the creation and revision of internal regulations and company documents
Update internal communication platforms and bulletin boards; disseminate company-wide announcements
Vendor and Purchasing Management
Manage contracts, payments, and invoices with external vendors (e.g., lease, cleaning, office supplies, logistics)
Obtain quotations and evaluate options to promote cost efficiency
