About the Department:
Engineering Support Services Hub (The Hub) is a centralized service unit within the Faculty of Engineering that provides essential operational and frontline technical and administrative support to Engineering departments and administrative units. Located in the John Hodgins Engineering Building, The Hub serves as a primary point of contact for students, staff, and faculty, helping to ensure the smooth day-to-day functioning of academic and administrative activities across the Faculty.
The unit delivers a range of core services, including key and access card management for engineering facilities and laboratories, coordination of meeting room bookings, maintenance of space and occupancy data in Faculty databases, and document services such as printing, binding, and lamination. In addition, The Hub offers general information and guidance, directing individuals to appropriate resources and supports within the Faculty and the broader university. Through its centralized, service-oriented approach, The Hub plays a critical role in supporting teaching, research, and administrative operations while fostering a welcoming and responsive environment for the McMaster Engineering community.
This position provides administrative support within The Hub, contributing to the efficient delivery of Faculty-wide operational services. The role supports a broad range of functions related to those in the paragraph above.
Additional responsibilities include processing Moneris transactions, managing meeting room bookings and calendars, and responding to general service requests from faculty, staff, and students. Operating in a high-volume, service-oriented environment, the incumbent ensures accurate record-keeping, timely service delivery, and effective communication, while supporting the continuous improvement of administrative processes that enable the Faculty’s teaching, research, and operational activities.
Job Summary:
Responsible for providing routine technical support and performing a full range of routine document, copy, and media production duties for an academic unit or department. Also responsible for organizing and performing a full range of administrative duties that require a thorough understanding of established functions, policies, and procedures.

Qualified candidates will demonstrate strong organizational skills, a reliable and conscientious work ethic, good attention to detail, and the ability to work independently while managing competing priorities. The role requires solid problem-solving, coordination, and time-management skills, along with the ability to work effectively in a busy environment with multiple tasks and deadlines. The successful candidate will be comfortable working with a diverse community and able to balance independent work with collaboration and teamwork.
The position requires effective interpersonal and customer service skills, as well as clear written and verbal communication abilities, including the ability to prepare professional communications for a broad audience. Strong computer skills are essential, including advanced use of Microsoft Excel and proficiency with common desktop applications such as Microsoft Word, Outlook, PowerPoint and Teams. Candidates must have experience using Enterprise Resource Planning (ERP) software (Mosaic/PeopleSoft would be an asset), along with experience in financial transaction processing.
The successful applicant will be expected to show initiative in identifying opportunities to improve existing processes and contribute to the development of new or enhanced procedures to support evolving service needs, while working effectively both independently and as part of a team.
Additional Information:
This is a part-time position (20 hours per week) with the normal schedule included in the posting details, as required under the Unifor Unit 1 Collective Agreement. The regular work schedule for this role is Monday to Friday, 10:00 a.m. to 2:30 p.m., with flexibility in the workweek available where operationally feasible. During peak periods or for occasional vacation coverage, the incumbent may be required to work up to 35 hours per week as needed to meet service requirements. Any temporary adjustments to scheduled hours will be communicated in accordance with the Collective Agreement.
