Administration Assistant (Hybrid, San Francisco)

NeuroAge is a brain health startup translating aging and neuroscience research into clinically actionable insights. We are seeking a highly organized administration assistant to support our CEO in general administration, day-to-day clinical operations, social media, events, and manage physical logistics from our San Francisco location.

Responsibilities

• Coordinate client onboarding, scheduling, and clinical documentation
• Act as a point of contact for clients, partner clinics, labs, and imaging centers
• Manage shipping and receiving of clinical kits and biological samples
• Prepare, label, track, and document outgoing and incoming shipments
• Maintain inventory of kits, supplies, and shipping materials
• Ensure accurate record-keeping and compliance with HIPAA and internal SOPs

Qualifications

• Strong organizational skills and attention to detail
• Empathy, patience, and professionalism when working with NeuroAge clients and partners
• Clear written and verbal communication
• Comfort working with both digital systems and physical materials
• Ability to manage multiple tasks in a fast-paced, hybrid environment
• Reliability and ownership over operational workflows
• Comfort with modern software and AI tools (Google workspace, Notion, ChatGPT/Claude)
• Interest in longevity, neuroscience, or precision medicine



Nice to Have

• Previous experience in clinical administration or healthcare operations
• A bachelor's degree in a relevant field
• Previous experience with social media and marketing
• Experience with shipping carriers (FedEx, UPS) or inventory management
• Experience working with labs, diagnostics, or research organizations
• Familiarity with HIPAA or handling sensitive health data
